Event Logistics Manager

National Conference Services, Inc. (NCSI) located in Columbia, Maryland, is actively seeking an entry–level Event Logistics Manager that will contribute to our growth and success. Our event staff plan, market, and produce over 85 on-site tabletop Technology Expositions all over the United States and Europe each year.

Position Description

The Event Logistics Manager reports to the Operations and Logistics Manager, and is responsible for coordinating all event-related logistics and will work closely with the Operations and Logistics Manager. Responsibilities include, but are not limited to, communicating and managing event schedules and details to the team, relaying any event security needs, oversee all communications with industry clients, and assist Event Managers with event day logistics. The job of the Event Logistics Manager entails activities pertaining to, but not limited to:

  • Pre-event

    • Email correspondence to exhibiting companies
    • Respond to event questions and inquiries as necessary
    • Manage collection of attendee and exhibitor information
    • Assist Event Manager with logistics and schedule, and on-site coordination as needed
    • Produce timeline of deliverables per event
    • Create materials and publications using Adobe InDesign (Name Badges, Table Tents, Sign-In Sheets, etc.)
  • Post-event

    • Distribute post-event lead list to exhibiting companies
    • Process event paperwork and distribute wrap-up memos to management
  • Additional Responsibilities

    • Enter sales into Event Management Database
    • Compile weekly sales report
    • Track inventory and order supplies as needed
    • Other duties as assigned

Required Qualifications

  • Bachelor's Degree
  • Strong organizational skills and attention to detail with the ability to prioritize and manage multiple projects at once; attention to detail and desire for accuracy
  • Exceptional communication skills, both verbal and written, and strong interpersonal skills necessary to build and maintain relationships
  • Ability to quickly identify problems and solve them
  • Proficiency in Microsoft Suite
  • Travel is required up to 40% of the year both domestic and abroad, which will include some weekends
  • Valid driver’s license
  • Ability to lift 50lbs
  • U.S. citizenship

Preferred Qualifications

  • Experience in event planning and logistics
  • Knowledge of Adobe InDesign
  • Experience working with government and/or military
